How the Baden Regional Care Centre combines administration, care and retirement homes in a single solution

What sets the Baden Regional Care Centre apart?
Martin Haefeli: With around 450 employees and approximately 280 care places, we are a large, specialised care centre. What makes us special is the diversity of our services.
In addition to traditional long-term care, we offer various specialised services, such as dementia care, geriatric psychiatry and intensive care. We are also establishing a new business area with retirement homes.
What was your situation like before introducing the Abacus software?
MH: In the past, a lot of things were still organised manually. We worked with paper, lists were kept by hand and information was entered multiple times. In day-to-day operations, this meant that many tasks were duplicated or that information had to be gathered from various locations. With the introduction of Abacus software in 2012, processes were gradually digitised and consolidated into a central system.
What role does Abacus play for you today?
MH: Abacus is now the central platform in our company. All processes relating to finance, HR and administration are handled through it, from financial accounting and payroll processing to resident administration.
In HR, we also use the applicant management system and the MyAbacus employee portal. This allows our employees, for example, to view their payslips or manage their personal data independently, which significantly reduces the administrative burden.
We have also recently added AbaRealEstate to our Abacus portfolio.

“All data is interconnected: once a customer is registered, they remain the same across all areas.”
Martin Haefeli, Head of Finance and Accounting, CFO at the Baden Regional Care Centre
You are the 500th AbaRealEstate customer – how did AbaRealEstate come into the picture for you?
MH: The development of retirement homes has opened up a new business area for us. In addition to care services, we will in future also manage flats, car parks and commercial premises. As we have been working with Abacus since 2012 and are very satisfied, it made sense for us to cover this area with an Abacus solution as well. AbaRealEstate is currently supporting us primarily during the set-up phase, for example with property management, drawing up tenancy agreements and preparing for renting.
Once the first tenants have moved in, ongoing processes such as rent collection, utility bill settlements and reminder procedures will also be handled entirely via AbaRealEstate. A major advantage is the direct integration with financial accounting. This allows us to set up the processes neatly within the system right from the start.
What added value does Abacus offer as an integrated solution?
MH: The biggest advantage lies in the centralised data master. Residents, relatives, tenants, staff and suppliers are all managed centrally. This means that processes are interlinked and information does not need to be entered multiple times.
This is particularly noticeable when people move, for example from a retirement flat to a care home, because the information is already available. The integration is also a major advantage for financial accounting and reporting, as all data is centrally located in one place.
What has changed most as a result of using the Abacus software?
MH: Above all, the way we work in the administrative area. In the past, a lot was recorded on paper and maintained in multiple places. Today, we work directly within the system. This saves time, reduces errors and provides a much clearer overview in day-to-day operations.
What new features are you planning to add to the product range in the future?
MH: The Baden Regional Care Centre is constantly evolving with new services and additional capacity. A current focus is on time tracking in conjunction with personnel scheduling and planning. Planning is particularly challenging in the care sector, with shift work, varying workloads and short-notice assignments. We see personnel planning and scheduling as a good opportunity to better map and simplify these processes in future.
Conclusion
MH: For the Baden Regional Care Centre, Abacus is now the central platform where everything comes together. The combination of AbaCare, AbaRealEstate and the classic ERP functions, along with additional HR and planning tools, makes it possible to address a wide range of requirements within a single solution.
“Abacus is innovative, reliable and practical. And above all: it’s all from a single source.”
