With the new payment program in Abacus Accounts Receivable Accounting, Schönenberger Partner AG has noticeably simplified the payment processes for its customers. In this interview, Samuel Simeon, Head of IT, and Yvonne Gerber, Digitalisation Project Manager, explain how the payment processes are designed efficiently and what role the new payment program plays in this.

How long have you been using Abacus and why did you choose it?

Samuel Simeon: We have been working with Abacus since 2021 and make the software available to our customers as part of the AbaWeb subscription. The decisive factor in our decision to switch to Abacus was the flexibility in the design of our offering: We can put together our services individually for each customer and offer exactly the right modules and programs. We also value the sales partner model, as we work with a fixed contact partner who understands the requirements of the fiduciary sector and works together as partners and equals. The scalability is also impressive: New clients can be easily added with low fixed costs.

How does Accounts Receivable Management work with Abacus?

Yvonne Gerber: Invoicing usually takes place at the customer's premises. Some use Abacus for this, others have a separate industry solution in use. In this case, the customers are transferred to the Abacus software via AbaConnect. OP management, i.e. the processing of incoming payments and reminders, takes place entirely in Abacus.

What hurdles do you encounter in the accounts receivable process?

YG: The biggest challenge is the different incoming payments. We cannot control how the bills are paid. Some invoice recipients send collective payments, others do not use the payment slip or are generally not very digitalised. This results in a lot of manual intervention and this is precisely where the new payment program excels.

The payment program has been fundamentally revised with Abacus Version 2025. What experiences have you had with the program so far?

YG: The previous program was functionally very powerful, but required in-depth knowledge. Efficient use was hardly possible without specific training, as the user guidance was not very intuitive.

What are the advantages of the new program?

YG: For me, the new payment program is one of the highlights of the new Abacus version. It is more modern, friendlier and much more fun to use. The recognition value within the software is also very high: Payment entry is now reminiscent of the posting journal in financial accounting, which makes working much more intuitive and faster.

Do you have a personal favourite function?

YG: Definitely offsetting. The entire handling is simpler and more intuitive. Even users without Abacus experience quickly find their way around because the program provides good guidance." Today, far fewer steps are required for billing, which is very convenient.

YG: The entire process becomes more efficient. We save time in supporting our fiduciary clients and the companies themselves save time in processing their accounts receivable. It is a modern, secure and innovative tool that makes payment processes noticeably easier.

What else do you like about the Abacus software?

YG: The consistency across the various applications is particularly noteworthy. Knowledge of one Abacus module facilitates quick orientation in other modules. The logic and basic structures are consistent, which makes working with the software efficient and pleasant overall.

What topics are you currently working on in the areas of finance, process optimisation and digitalisation?

SS: Collaboration with our customers is a key issue. Abacus has optimised this with AbaWeb. We still see potential in document exchange. The challenge in our fiduciary area is that we have a very broad base. From SMEs and social institutions to private individuals, we have a very heterogeneous clientèle, which is why we need solutions that do justice to this diversity. With the Fiduciary and Real Estate Portal, Abacus brings a lot of movement to this topic. We are following these developments with interest.

Are there any other challenges that you face?

YG: We often find that customers have a very powerful product in use, but only use a small part of it. Despite the software, many people still keep manual Excel lists or notepads. Our aim is to continuously exploit this digitalisation potential and demonstrate how much more efficiently processes can be handled with Abacus.

What are your next steps with Abacus Business Software?

SS: There are many things that we would like to tackle step by step. One long-term goal is to replace our current cloud solution with DeepBox. We expect further efficiency gains in the processing of supplier invoices as a result. Our customer group is very diverse, and the great thing is that Abacus offers numerous options for mapping processes digitally. We also want to utilise the existing potential of Electronic Banking in an even more targeted manner in future.
