Invoicing solution ensures a significant increase in efficiency

How did you hear about the standard invoicing client?

Susan Bossshart: Our fiduciary, Witreva AG, informed us that our previous software would no longer be continued and recommended that we switch to Abacus Business Software. We initially considered outsourcing invoicing to separate software. However, this approach was quickly discarded as we wanted to utilise the advantages of an integrated solution. Thanks to the close co-operation between our fiduciary and the Abacus sales partner Dorean AG, we were finally able to implement the optimum solution for us.

What were the biggest challenges during the launch?

SB: The biggest challenge was to decide which data should be transferred from the old system. We proceeded in different ways: For the client Nova Energie Ostschweiz AG, we completely re-entered the master data, as the database from the old software was unusable. For another client in which we process member invoices, we were able to transfer all existing data.

What requirements were you able to fulfil with the Abacus software?

SB: Digitalisation was an important step for us. Since the introduction of the Abacus software, we have been working much more efficiently: We now mainly send invoices by e-mail instead of by post, which saves time and costs, especially for the 350 member invoices. A lot has also been simplified in accounts payable - invoices are scanned and stored digitally, eliminating the need for physical invoices.

Are there special functionalities within the software that make your work easier?

SB: Yes, absolutely. The shortcuts such as F2, F4 and F5 as well as the available links are very helpful functions for quickly switching to other programmes or creating a new data record. I find it extremely efficient to be able to call up another programme directly from one programme. This makes working with the Abacus programmes much easier. The direct access to the master data from anywhere is a great advantage for me.

Where do you see the greatest advantages of Abacus Order Processing for Nova Energie Ostschweiz AG?

SB: Digitalisation is certainly a major advantage. It is especially convenient that we no longer have to physically file documents in folders. The continual development of the Abacus Software also gives us the security of knowing that we are in good hands here.

In which area do you use Subscription Management within Order Processing?

SB: For this purpose, we have a special mandate for an branch that we support to invoice their membership fees once a year. The invoices are created based on various properties, as the members come from various sectors: private individuals, municipalities and companies. The invoices for each area are then summarised in one run and settled with a single invoice item.

How are you implementing digitalisation in conjunction with Abacus Software?

SB: Our focus is on digital filing in the electronic dossier. We use MyAbacus for payroll, which offers our employees easy digital access to pay slips and wage statements. The approval process in accounts payable was also digitalised: Instead of time-consuming paperwork and stamping, everything is now automated with just a click in MyAbacus.

In conclusion: What would you say about Abacus Order Processing?

SB: I am very happy with the switch to Abacus Business Software. I particularly appreciate the fact that we don't need any additional interfaces and can conveniently handle all our requirements in a single programme. This makes the solution very effective for us.
