Why did Emil Egger AG decide in favour of Abacus and what advantages does Abacus Expense Management offer the company and its employees? Marco Schaffner and Martin Egger share their experiences and explain how Abacus has optimised their processes.

What were the reasons why Emil Egger AG decided in favour of Abacus?

Marco Schaffner: After a comprehensive evaluation, we decided in favour of Abacus because it best met our requirements. Abacus offers an optimal combination of functionality and user-friendliness, which leads to a reduction in complexity. This is of great importance to us, as our chauffeurs depend on an uncomplicated software solution where they can see their services and easily record their working hours and expenses.

When did you introduce Abacus?

Martin Egger: We introduced Abacus on January 1, 2024.

How has Abacus Expense Management increased efficiency in your company?

MS: We employ 800 people, including around 500 chauffeurs, who record several expense events every day. Previously, we collected the expense receipts, checked them and entered them manually. This was very time-consuming and error-prone. With Abacus, we have simplified the process and saved at least 50% of the workload. The system works excellently and has really convinced us.

You also use company credit cards at Emil Egger AG. What added value does this give you?

MS: Of our employees, 180 have a company credit card. These are mainly the chauffeurs who drive a specialised vehicle and often have high expenses, especially abroad. With corporate credit cards, they do not have to pay these high amounts themselves first, but can settle them directly via the card. All they have to do is scan the receipt and link it to the transaction. This significantly simplifies the process, which saves us time and reduces the administrative workload.

How did your employees react to Abacus Expense Management?

MS: I was pleasantly surprised. I would never have thought that onboarding would be so quick and smooth. The employees quickly realised that the system is very good. You no longer have to hope that a paper receipt will eventually make it to payroll processing, but instead you post an expense event directly via your device and it is immediately in the system. Transparency is also very much appreciated. Even employees who are not so digitally savvy get on well with the AbaClik app.

What are the three main advantages of Abacus Expense Management for you?

MS: Time savings, complete digitalisation and ease of use.

How would you describe Abacus Expense Management in one word?

ME: Integrated.

You already use Abacus Payroll, Financial Accounting, Time Recording and Expense Management. Are you planning to expand your Abacus portfolio?

MS: Yes, definitely. First of all, we want to optimise the existing basis and become confident in the new processes. We want to take the next step at the beginning of 2025 and introduce the Onboarding process and Applicant Management. These expansions will greatly reduce the workload and further increase efficiency. We appreciate the advantage of having everything in one place, as it makes it much easier for our employees to use.
